- Approval
- Internal reminders: on its own. Escalating to a manager: approved by whoever created the item.
- Diego, the item "Send the maintenance budget to Rocío" has been open for 7 days. It came out of Monday’s meeting. Is it still on, or shall I move the date?
- Still on. Move it to Friday, I’m waiting on the supplier’s quote.
- Done, new date: Friday. If it is still open that day, I’ll message you again. I only escalate it to your manager if Lucía, who created the item, approves.
- Perfect.
01 · What it does
The work it takes off your desk.
- Spots commitments in Zoom meetings, emails and voice notes, and proposes an owner and a date for each one.
- Logs every item in one shared list your team can check.
- Reminds the owner at 2, 7 and 30 days while the item stays open.
- Moves dates when the owner asks and keeps the reason on record.
- Writes the weekly summary for management: what closed, what is still open and what is overdue.
02 · How it works
Step by step.
- 01
Listens
Reads the minutes, emails and voice notes you connect, and separates commitments from chatter.
- 02
Assigns
Proposes an owner and a date for each item, and whoever created it confirms.
- 03
Chases
Sends reminders at 2, 7 and 30 days and gives you the weekly summary with what is overdue.
03 · Approvals
What goes out alone and what goes through a person.
It starts supervised: every reminder and every summary goes first to the person who supervises it. With evidence, it moves to by exception: internal reminders go out on their own and escalating to a manager is approved by whoever created the item. It never evaluates people: it only keeps count of what was agreed.

05 · Hours given back
What it is worth, in hours and dollars.
Example: with 60 open items a week and 10 minutes of manual follow-up on each one (finding it, writing the reminder, updating the list), it gives back 10 hours a week (60 × 10 = 600 minutes). At your team’s loaded cost, your dashboard shows it in US$.
06 · Questions
About this coworker.
Will it pester my people without me knowing?
While supervised, you see every reminder before it goes out. After that, internal reminders go out on their own, always showing the item, the owner and the date.
How does it tell a commitment from plain conversation?
It proposes the item with an owner and a date, and whoever created it confirms. If the owner is missing, it asks instead of guessing.
How far does it go without asking?
Reminders are internal. Escalating an item to a manager needs the approval of whoever created it.
